Scope and Contents

The Office of Student Activities records highlight student involvement at Willamette University. Records include annual reports, student involvement surveys, constitutions and by-laws of Willamette’s many student organizations, as well as the planning and documentation of many student-led events. Records also document the activities of Willamette’s Greek life, including minutes, recruitment, and scrapbooks from Willamette fraternities and sororities. Additionally, this collection includes the records of Willamette’s student government, the Associated Students of Willamette University (ASWU). ASWU records include Senate minutes, transition binders, funding and budget materials, and overall documentation of student life at Willamette. The Office of Student Activities collection also includes records from the Campus Recreation department and the Community Service Learning program. Campus Recreation records include materials relating to club sports and Willamette's Outdoor Program. Community Service Learning program records include materials relating to Take a Break (an alternative Spring Break program) and other service learning projects.

Historical Note

The Office of Student Engagement & Leadership (SEAL; formerly known as the Office of Student Activities and the Office of Campus Life) provides students with co-curricular involvement opportunities. SEAL advises students in the creation of and involvement in student clubs and organizations. Student organizations include honorary, religious, political, academic, and service groups. These also include the Interfraternity and Panhellenic councils, and campus fraternities and sororities.

As the advising office of Willamette University student organizations, SEAL oversees the Associated Students of Willamette University (ASWU). ASWU is comprised of the student representatives elected to serve the Willamette University student body. The main goal of ASWU is to “improve the Willamette campus and voice the concerns of students.” ASWU administers student fees to fund the variety of student organizations as well as the Collegiate Readership Program, the Willamette Events Board, the Collegian and ASWU Sound. ASWU is also instrumental in annual campus activities such as Black Tie and Wulapalooza.

The Office of Student Engagement & Leadership additionally oversees the coordination of some of Willamette University's annual student-led events, chiefly, Opening Days (first year and transfer student orientation) and Parent and Family Weekend.

Overview

The Office of Student Activities records document the activities of student organizations and student-led events at Willamette University. Included are organizations such as the Associated Students of Willamette University and the Interfraternity and Panhellenic councils, as well as Opening Days and other programming.

Arrangement

The Office of Student Activities records are arranged into six series: I. Administrative records; II. Campus Events; III. Student Organizations; IV. Greek Life; V. Campus Recreation; and VI. Community Service Learning. Campus Events, Student Organizations, Greek Life, and Community Service Learning have been further arranged into subseries.

Related Materials

Related collections include: the Willamette University Student Publications collection (WUA023); the Willamette University and Northwest collection (WUA014), which includes a brief history of the Philodosian literary society; and the Willamette University Scrapbook collection (WUA048), featuring photographs and memorabilia from student organizations.

Separated Materials

The following have been moved to Student Publications (WUA023): Student Handbooks, Beta Chi Jester, The Complex (Sigma Tau), Delta Phi Yearbook, Kappa Gamma Rho, Oregon Gamma Jester (Pi Beta Phi), Oregon Gamma Gab Sheet (Sigma Alpha Epsilon).

Materials relating to faculty committees and to Honors and Awards have been moved to the College of Arts and Sciences Dean's Office records.

Memorabilia, including t-shirts, glassware, and other objects, has been incorporated into the Memorabilia collection (WUA101).

Photographs have been incorporated into the Campus Photographs collection (WUA9999).

Audiovisual materials have been moved to the Campus Audiovisual collection.

Processing Information

This collection has been processed and described at a folder level, with the exception of bound volumes, which are described at the volume level. The collection was initially processed in 2014 by Ashley Toutain. In 2021, it was reprocessed by Elizabeth Peters. At that point, new accruals were added, and some materials were removed to other collections that contained related materials. See the Separated Materials note for specifics. Additionally, new series for Campus Recreation and Community Service Learning were added, consisting both of newly accrued materials and materials already in the collection. At this time, the collection was refoldered and reboxed for preservation, and all folders were physically rearranged to match their intellectual arrangement. Description was revised as necessary (for example, resolving a conflation of Beta Chi with Beta Chi Alpha), at all levels of description. All restrictions were reviewed, and those that were determined to have been overreaching were lifted. These changes are noted at the folder level.
